Payroll and Managed Accounts Service

We know managing your support funds can feel overwhelming — but it doesn’t have to be. If you have a direct payment or pay for your own support, we can help. Whether you need help with payroll or want us to handle everything, we’re here to keep it simple.

What support do we offer?

We offer three different packages of support. Each offers its own management level and is aimed at different people. Whether you want a bit of help or full support, there’s an option for you.

Payroll service

This service is for people who employ PAs. We help you manage payroll easily. We’ll handle everything for you. From calculating your PA’s monthly pay to dealing with HMRC. Leaving you to focus on living life your way while we take care of the details.

When you choose our Payroll service we will:

  • Register you with HMRC, making sure they know we are your agent. This means we can talk to HMRC and complete monthly submissions on your behalf.
  • Email you a monthly breakdown. This will let you know how much to pay your PAs, HMRC, and disAbility Cornwall.
  • Send payslips directly to your PAs via email.
  • Calculate all statutory and required payments. Like holiday pay, student loan repayments, and more.
  • Offer comprehensive pensions support service.
  • Provide free, ongoing support.
  • Complete all required declarations and documents. This includes P60 and P45 forms.

To benefit from this service, we need you to:

  • Fill out and return our payroll registration form.
  • Within the last 10 working days of each month, you will need to tell us:
    • – The number of hours each PA has worked.
    • – The rate of pay for each PA.
      – The amount of annual leave each PA has taken.

    You can send us this information by email (recommended), by post, or over the phone.

    The monthly charge depends on how many PAs are being paid. Please see below for more information.

    Monthly fees
    No PAs (nil return to HMRC): £10
    1-3 PAs: £26.00
    4-6 PAs: £32.50
    7+ PAs: £39.00

    Do you have a Direct Payment?
    Our fees are incorporated in your Support Plan. So are covered in the amount you receive for your personal budget. Meaning you do not have to give up any of your budget to get financial support.

    If you have a Direct Payment
    The NHS or local authority should offer you this type of support. They should do this when you make your support plan. But you can request our services at any time. Simply tell your support team that you want this service and they will refer you to us. They will update everything they need to make sure you receive the extra funds.

    If you are a self-funder
    Complete our registration form and our team will get in touch with the next steps.

      Managed accounts service

      This service is perfect if you don’t want to handle your care funds or make payments yourself. We receive your care funds for you and manage them. We’ll make sure everything is paid on time. And we will carefully manage your budget. So you can relax knowing everything is being taken care of.

      We’ll manage your money how you want, following what’s set out in your Support Plan. This could include:

      • Paying the expenses agreed in your Support Plan. This could include PA wages, care agency fees, and more.
      • Paying all amounts due to HMRC (if applicable).
      • Making pension payments (if applicable).
      • Keeping a record of all the income received and payments made.
      • Providing you with a statement upon request. This will show a breakdown of all transactions.
      • Dealing with audit and inspection checks when they are asked for.

      How we receive your money differs depending on how you pay for your support. Please see the options below for more details.

      People with personal budgets
      We will arrange for your personal budget to be paid into our “Holding Account”. This is the account where we hold client funds.

      Do you make personal contributions to pay for your support? If you do, you will need to make regular payments to our Holding Account yourself.

      Self-funders
      You will need to make regular payments in our “Holding Account”. This is the account where we hold client funds.

      There is a quarterly fee of £91 charged for this service. We will collect this fee from the funds we hold for you.

      This is a combined service. It offers everything from our payroll service. Plus everything from our managed accounts service. You get the convenience of having both your PA payroll and care funds managed for you. We take care of paying your PAs and managing your care funds, so you don’t have to worry about any of it.

      This covers everything from both services above This includes:

      • Registering with HMRC and acting as your agent.
      • Running monthly payroll.
      • Calculating pay for your PAs. Including holiday pay, tax, and more.
      • Managing your care funds in line with your Support Plan.
      • Making your payments.
      • Keeping clear records of all income and payments.
      • Providing statements and breakdowns on request.
      • Supporting you through audits or inspections.
      • Ongoing advice and support whenever you need it.
